By proceeding with the booking and use of Te Whānau Arohanui, you agree to the following Terms and Conditions.
Te Whānau Arohanui reserves the right to amend these Terms and Conditions at any time without prior notice. It is the responsibility of the event organiser to ensure they have read and understood the Terms and Conditions before confirming a booking.
1. Bookings & Payment

All bookings must be made through Te Whānau Arohanui booking system.

A non-refundable deposit of 20% of the total hire fee is required to confirm your booking.

Failure to pay the balance by the due date will result in cancellation of the booking.

All payments must be made online through our invoicing system. We do not accept cash or checks.
2. Cancellation Policy
-
Cancellations made more than 10 working days before the event will receive a full refund of any payments made, minus the non-refundable deposit.

Cancellations made less than 10 days before the event will result in full payment required.

Please note that this booking may be canceled by Te Whānanu Arohanui, at any time in the event of a tangi, in which case you will be fully refunded.
3. Venue Usage

The venue is available for hire for up to 30 people, depending on layout and kaupapa.

The venue is available for use between the hours of 8:00 AM and 10:00 PM unless otherwise agreed upon in writing.

The event organiser is responsible for setting up and packing down the venue.

The venue must be left in a clean and tidy condition.

All rubbish must be disposed of at the discretion of the event organiser. Failure to comply will incur an cleaning fee of $40 (not applicable at Te Whare Wānanga).

Decorations and signage must not cause damage to the venue’s structure or fixtures.

The use of nails, screws, or any other materials that could damage walls or surfaces is prohibited.
-
All decorations and signage must be removed at the end of the event.

If paint (or a similar medium) is being used you must cover the carpet area with tarpaulins and tape.

Any damage to the venue or its contents must be reported immediately. The event organiser will be liable for repair, replacement or cleaning costs.
4. Facilities

Hiring the venue includes the use of the kitchen, tables, chairs, monitor, and whiteboard.

Additional equipment or furniture must be approved by Te Whānanu Arohanui and arranged at the event organiser’s expense.
5. Code of Conduct

The event organiser and their guests must behave in a respectful and considerate manner at all times.

Noise levels must be kept to a reasonable level to avoid disturbing nearby residents.

The presence and consumption of alcohol and/or drugs are not permitted in any circumstances.
-
Smoking and vaping are strictly prohibited on the premises.

The event organiser and attendees must comply with all health and safety regulations during venue use.
-
Emergency exits must be kept clear at all times.
-
The use of candles, open flames, or any hazardous materials is strictly prohibited.
6. Liability

Te Whānau Arohanui is not liable for any loss, damage, or injury suffered by the event organiser or their guests during the use of the venue.

Te Whānau Arohanui is not responsible for any personal property brought into the venue by the event organiser or their guests.

All personal property must be removed from the venue at the end of the hire period.
7. Indemnity

The event organiser agrees to indemnify and hold harmless Te Whānau Arohanui against any claims, damages, or losses arising from their use of the venue.
8. Ammendments
-
Te Whānau Arohanui reserves the right to amend these terms and conditions at any time. Event organisers will be notified of any changes in writing.

By booking and using Te Whānau Arohanui venue, the event organiser agrees to abide by these terms and conditions. Failure to comply may result in the termination of the hire agreement and forfeiture of any fees paid.
